Variance Request Information
The Variance Request supports the documentation in the system of a request for variance which may result from a record check finding; a provider complaint, a subsidy benefit or a licensing issue. The request is linked in the database to the appropriate provider/ person and regulation. The request may also be linked to a violation as recorded on the Background Check or Site Visit Findings.
The provider has 15 days from the date of the Outcome letter in which to file a Variance Request. If the 15 day limit passes without a Variance Request being received, the Variance Limit Notice is sent by the system to notify the Licensor assigned to this provider or the subsidy worker assigned to this case that follow-up activities can be taken as necessary. A follow-up action may be taken to make the Subsidy or Licensing Case Inactive.
The CCIS is required to support a method of storing information other than manual entry. A function for the scanning of supporting documentation for a variance request to store scanned images, link them to system work items, and retrieve them for viewing is available.
The actual scanning of a document will be performed using the scanner and scanner software acquired by CDD. The scanned image will initially be stored on a drive designated by the user. After the user completes the Scanned Documentation data elements, the CCIS will need to retrieve this image and link it to the appropriate work item and then store it in the database.
