Work Management Overview
The basic premise of work management is that something happens, is recorded in the system, and then something else happens. The work rules about these "next actions" are maintained in the system and are used to assign and schedule next actions for completion.
When a condition exists in the system (such as a Licensed Program Application has been completed), the system determines what needs to be done next (an Approval, for example), when it needs to be done (one week from the date of the original Application, for example), who needs to do it (such as the current worker, a Licensor, a Licensing Supervisor), and who else needs to know about it (and should receive a notice). The work rules may specify alternative things that may be done next and alternative timelines for their completion, based on the characteristics of condition being evaluated.
Every part of the workflow is identified. The Business rules (time frame and sequence for completing particular steps) are embedded and identified in the Workflow Manager. The responsible staff person for the next step in the process is identified through the workflow manager so that the completion of one step immediately creates a work list item for the next step. Bright Futures captures who did what when. Each step is time-stamped with a start date, update date, and completed date with a corresponding worker ID. Accountability is firmly established and the data necessary for continuous improvement is immediately available for review and analysis.
