Entering a New Contract
Contracts are initiated in the system through the Provider or Person Account Summary pages. The following contracts are entered in this manner:
Contracts - Reserved Spaces
Transportation - Formal
Transportation - Informal
Once a contract has been entered, an agreement is initiated in order to apply the payment terms. An agreement becomes the mechanism through which the grant or contract is tracked throughout the system.
Terms for all Agreements
As the terms of an agreement are entered, payments for services are scheduled.
As the payments are made, the payment details are recorded.
The terms of the agreement specify a Grant Award; a Total Contract Amount is optional.
Billed items would be paid to the maximum amount of the contract if Contract Amount is present.
Terms for Transportation Contract Agreement
A Base Rate will be negotiated on an individual basis for each Contract or Informal Agreement (Transportation Provider Agreement).
Providers will be paid through an invoice (Transportation Roster) generated bi-weekly.
In addition, mileage will be paid at the current rate (36 cents).
Each child will be identified on the invoice and the rate paid (base plus mileage) will be by trip per day.
Terms for a Contract for Reserved Spaces Agreement
Contracts for slots will be individually negotiated for each provider.
The contract terms will be based on the following criteria: History of attendance for previous contracted slots; Service Provided (Special Needs, Protective Services, etc.); Co-pay; Accreditation Bonuses; Tiered Rates (future use).
Providers will be informed of the methods used for negotiating contracted slots (Criteria Framework).
The terms will establish a rate for each slot irregardless of age category for the slot.
A total number of slots will be identified for the contract.
Accessing the Contract Function
This function is accessible from several areas in the system. Follow the methods as described in Grant Application Review. Once you have located the person, provider or transportation provider, have accessed the appropriate Account Summary page, and have selected the Contracts Agreements option from this page, you will have accessed the Contract Agreements page (AG0004) as shown below. Continue with the appropriate process as described below.
